Description:

Microsoft OneDrive is a cloud service that can be used to store files and share files with people both inside and outside the organization.



Step 1: Login to Office365
Open your chrome browser and go to https://www.office.com/ and sign in using your WAMS Cloud sign-in if prompted:



Step 2: Select OneDrive
Open the Office365 menu by selecting the grid icon in the upper right corner, then select the OneDrive icon.







Step 3: Create a folder to share

Select "New" from the top menu bar and then select "Folder".  Give your new folder an appropriate name




Step 4: Share new folder with people

First, select the share icon to the right of the new folder.




Second, if you wish to share your folder externally select the "Share with" selector.  Then select "Specific People".  Under other settings, you can select whether or not you would like people to be able to edit items in this folder.  This will need to be selected if people are going to be sending you files.  Once you are done with your selection, select "Apply".


   


Third, enter the email address of the people you wish to share your folder with.  You can enter more that one email address if you'd like. Be very careful that you enter the email address correctly. Type any message you wish to include and select "Send".



Step 5: The recipient receives access

The recipient will receive an email messages that looks similar to the image below.



When they select open for the first time, they will be prompted to verify that they have access to the recipient email address.   A code will be sent to that email address that they will need to enter to gain access to the shared item.  They will be prompted to select "next" one more time.



    


Step 6: Sending and receiving files

Once someone has successfully accessed a folder that has been shared, they can upload files and folders using the "Upload" button from the top toolbar. To download items, select the items so that a checkmark is displayed and then select the "Download" button.


   


Step 7: Adjusting Sharing Permissions

When you are done sharing your files and folders, be sure to remove the external access and/or delete your files if no longer needed.  Locate your shared folder and select the menu button(represented by 3 dots).  Select "Manage access".  This will open a new window.  Select the arrow button titled "This link works for" to display the permitted recipients. Remove any unneeded members by selecting the "X" next to their name. If you wish to remove sharing from the folder completely, you can select the menu button next to the link and them select the "X" as shown below.
